Onboarding Guide

Welcome to Offgen! This guide will walk you through the essential features and help you become productive in just 5 minutes.

5-Minute Quick Start

Create Test Shapes

Let's start with some shapes to practice on:

  1. Open PowerPoint and create a new blank presentation
  2. Insert 3-4 shapes (rectangles, circles, etc.) and place them randomly on the slide
  3. Make them different sizes and colors
  4. Open the Offgen add-in from the ribbon

You can create shapes quickly using PowerPoint's Insert > Shapes menu.

Master Alignment

Select all your shapes and try these alignment actions:

  • Align Left: All shapes align to the leftmost shape
  • Align Center: Shapes center horizontally
  • Distribute Horizontal: Shapes space evenly with equal gaps

Pro Tip: You can undo any action with Ctrl+Z (Cmd+Z on Mac) if you don't like the result.

Copy Properties with Get-Set

Now let's make your shapes match:

  1. Select one shape that has the style you like
  2. Click Get Color in the Get-Set section
  3. Select all other shapes
  4. Click Set Color
  5. All shapes now have the same fill color!

Try the same with:

  • Get/Set Size: Make all shapes the same dimensions
  • Get/Set Outline: Copy border styles

Use AI Assistant

Time to try the AI features:

  1. Click the AI Chat icon (chat bubble)
  2. Type: "Make all shapes blue and arrange them in a row"
  3. Press Enter and watch the AI execute your command

The AI understands natural language and can perform multiple actions at once.

Explore Smart Suggestions

Notice the suggestions panel:

  • It shows actions relevant to your current selection
  • Recently used actions appear at the top
  • Click any suggestion to execute it instantly

Essential Features Tour

Alignment & Distribution

The most-used features for creating professional layouts:

Alignment

  • Align shapes to each other (left, right, top, bottom, center, middle)
  • Dock shapes to slide edges

Distribution

  • Space shapes evenly (horizontal, vertical)
  • Arrange shapes in a circle

Text Formatting

Quick text alignment tools:

  • Horizontal alignment (left, center, right, justify)
  • Vertical alignment (top, middle, bottom)
  • Works on all selected shapes at once

Shape Layers

Control which shapes appear in front:

  • Bring to Front: Move to the very top layer
  • Send to Back: Move to the bottom layer
  • Bring Forward/Send Backward: Move one layer at a time

Get-Set Tools

The secret to working efficiently:

  1. Get a property from one shape
  2. Set that property on other shapes

Works with:

  • Size & Position
  • Colors & Outlines
  • Text Formatting
  • Text Margins

Common Workflows

Creating Aligned Layouts

1. Insert shapes for your layout
2. Select all shapes
3. Align Center (horizontal centering)
4. Distribute Vertical (even spacing)
5. Get/Set Size to make them uniform

Styling Multiple Shapes

1. Style one shape perfectly (color, border, text)
2. Get Color, Get Outline, Get Text Formatting
3. Select all other shapes
4. Set Color, Set Outline, Set Text Formatting

Using AI for Bulk Changes

1. Select shapes or slides
2. Open AI Chat
3. Describe what you want: "Make all titles Arial Bold 24pt"
4. AI executes the changes

Keyboard Shortcuts

Speed up your workflow with these shortcuts:

  • Ctrl+Shift+L - Align Left
  • Ctrl+Shift+R - Align Right
  • Ctrl+Shift+T - Align Top
  • Ctrl+Shift+B - Align Bottom
  • Ctrl+Shift+C - Align Center
  • Ctrl+Shift+M - Align Middle

You can customize keyboard shortcuts in Offgen settings.

Tips & Tricks

1. Use Smart Suggestions

The suggestions panel learns from your usage and shows the most relevant actions. It's often faster than searching through menus.

2. Combine Actions

Many workflows involve multiple actions:

  • Align Center → Distribute Vertical → Get/Set Size = Perfect stack

3. AI for Complex Tasks

When you need to do something complicated, ask the AI instead of doing it manually:

  • "Swap all red shapes with blue"
  • "Add a border to all shapes without text"
  • "Resize all images to 300x200"

4. Practice Get-Set

Master the Get-Set tools—they're the fastest way to apply consistent styling across your presentation.

5. Use Distribution for Grids

Create perfect grids by:

  1. Distribute Horizontal on rows
  2. Distribute Vertical on columns
