# Manage templates

Save slides from your deck to the Library, organize and update templates in the web app, and share them with your organization.

Source: https://www.offgen.ai/docs/manage-templates

Add slides to the Library, keep them organized and publish new versions. To find and insert templates in PowerPoint, see [Template library](/docs/library).

**Where:** Template Library tab in the offgen add-in and [Library](https://app.offgen.ai/library) at app.offgen.ai · **Who:** all members for their own templates; Admins for the Organization Library

## Save slides from your deck

1. In PowerPoint, open the **Template Library** tab and select **Add templates** (the plus icon).
2. Under **Save to**, choose **My Library**, **Organization** or one of your teams. If you have no other choice, the add-in shows "New templates are saved to My Library."
3. Choose **Add current slide**, **Add range** (enter **Start slide** and **End slide**, then **Add**) or **Add whole deck**.

Each slide becomes a template. offgen analyzes the slides in the background, so you can keep working. The add-in remembers your **Save to** choice.

If the selected slide is linked to a template, **Re-save current slide** updates that template with your changes.

## Upload and organize in the web app

Open [Library](https://app.offgen.ai/library) and pick a space: **My Library**, **Organization Library** or a **Team Library** for each team you belong to.

* **Upload templates:** select **Add → Templates**, then choose or drop `.pptx` files (up to 1 GB each). Pick the slides you want; each one becomes a template.
* **Folders:** select **New folder** to create one. Select templates and use **Move to** to file them.
* **Labels:** select templates and use **Label**. Labels power the **Labels** filter and **Alternatives** in the add-in.
* **Stacks:** select **Add → Stack** to create an ordered set of templates that is inserted in exactly that order. Start with **Import PowerPoint** or **Start from scratch**.
* **Icons and images:** select **Add → Icons** or **Add → Images**. They appear in the add-in's [image and icon search](/docs/images-icons-logos).

## Update a template

Each saved edit publishes a new version. A template's page in the web app shows its **Version history**, and you can compare versions side by side.

**In the add-in:** open the template and select **Edit template**. offgen adds the slide to your deck and selects it. Change it, then select **Save changes**, or **Discard**. offgen removes the temporary slide afterwards.

**From the web app:** on the template's page, select **Edit in PowerPoint**. Open the downloaded file in PowerPoint with the add-in, then select **Upload to offgen** on **Home**. You can also upload the file on the template's page.

You can publish changes to your own templates, to your teams' templates and, as an Admin, to Organization Library templates. Otherwise the add-in shows "You can view this template but can't publish changes to it."

## Send a template for approval

Approvals let a colleague sign off on a template. They work for templates in the Organization Library or a Team Library.

1. On the template's page, select **Send for approval**.
2. Pick the colleague who needs to approve it, add a message and select **Send**.
3. The approver finds it under [Approvals](https://app.offgen.ai/approvals) → **Waiting for me** and selects **Approve** or **Decline**. Declining needs a reason.

You can follow your requests under **Sent by me**. An approval records the decision; it doesn't change, move or publish the template.

## Copy to organization

To share a template from **My Library** with everyone, select it and choose **Copy to organization**, in the web app or in the large library window. offgen creates an independent copy in the Organization Library; your original stays as it is. Only Admins can do this; Members ask an Admin.

## Effect on workflows

A template's page lists the workflows that use it under **Used in workflows**. Workflows always run with the current version of a template, so a new version applies to the next run of every workflow that uses it. A template that a workflow uses can't be deleted; remove it from the workflow first.

## SharePoint-synced templates

Templates imported by a [SharePoint import](/docs/sharepoint/import) sit in folders marked "Synchronized from SharePoint and managed there". SharePoint is their source, so you edit them there, not in PowerPoint, and their folders can't be deleted in offgen. When you try to edit one, the add-in shows "This template is managed in SharePoint. Edit the file in SharePoint instead; changes there sync to offgen."
